Hawaii Ocean Club Realty Group Inc Vacation Rentals Terms and Conditions

1. CHECK-IN TIME is AFTER 4 P.M. HST AND CHECKOUT is 11 A.M. HST. NO Early Check-in or late checkout. A late checkout will incur a two dollar ($2.00) per minute charge with a fifty dollar ($50.00) minimum charge. Subject to prior arrangements and confirmation with our office.

2. This is a NON SMOKING unit.

3. PETS are not permitted in rental units under any conditions.

4. DAMAGE/RESERVATION DEPOSIT - A reservation deposit of three hundred dollars ($300.00) or up to five hundred dollars ($500.00 - Single Family Homes) is required. This will be in our booking the reservation and/or credit card on file for incidentals. The deposit automatically converts to a security/damage deposit upon arrival. The deposit is NOT applied toward rent; however, it is fully refundable within fourteen (14) days of departure, provided the following provisions are met.

  • No damage is done to unit or its contents, beyond normal wear and tear.
  • No charges are incurred due to contraband, pets or violation of any House Rules (see section 16).
  • All debris, trash and discards are placed in dumpster or street trash can or building trash chute.
  • Soiled dishes are placed in the dishwasher and cleaned.
  • All keys are left on the counter and unit is left locked. Any lost keys or if keys are not returned to the kitchen counter after checkout will incur a one hundred dollar ($100.00) charge if applicable. Card Keys are $20 per replacement card.
  • All charges accrued during the stay are paid prior to departure, including any violations.
  • No linens are lost or damaged.
  • Parking passes are returned in the same place received upon departure. Any lost or unreturned parking passes will incur a one hundred dollar ($100.00) charge.

5. PAYMENT – An advance payment equal to fifty percent (50%) of the rental rate is required sixty (60) days before arrival. The advance payment will be applied toward the total payments due.

6. CANCELLATIONS – A sixty (60) day notice is required for cancellation. Cancellations that are made more than sixty (60) days prior to the arrival date will incur no penalty. Cancellations or changes that result in a shortened stay, that are made within sixty (60) days of the arrival date, forfeit the full advance payment and reservation deposit. Cancellation or early departure does not warrant any refund of rent.

7. MONTHLY RESERVATION CANCELLATIONS – Monthly renters must cancel one hundred twenty (120) days prior to check-in. Cancellations that are made more than one hundred twenty (120) days prior to the arrival date will incur no penalty. Cancellations or changes that are made within one hundred twenty (120) days of the arrival date, forfeit the full advance payment and reservation deposit. Cancellation or early departure does not warrant any refund of rent. Monthly renters who make a change that results in a shortened stay must be made at least ninety (90) days prior to check-in to incur no penalty.

8. MAXIMUM OCCUPANCY – The maximum number of guests is limited to;
2 bedroom rental units (six) persons.
1 bedroom rental units (4) persons (there are some, per description of unit in the website that may differ).
Studio units (2) persons (with the exception of RG2009 is 4 persons)

9. INCLUSIVE FEES – Amenity fees are included in the rental rate. There may be additional fees as required by building for amenities. No additional disposable amenities will be provided.

10. NO DAILY HOUSEKEEPING SERVICE – While linens and bath towels are included in the unit, daily maid service is not included in the rental rate. We do not permit bath towels or linens to be taken from the units. Most units should have Beach Towels.

11. FALSIFIED RESERVATIONS – Any reservation obtained under false pretense will be subject to forfeiture of advance payment, deposit and/or rental money, and the party will not be permitted to check in.

12. PARKING – Every vacation rental has it’s own parking situation. Some may offer and most will not. Please verify with us prior to arrival. The website may have information about parking for each individual vacation rental unit.

13. HOUSE RULES – All house rules must be followed. Tenant understands that breaking any house rules will incur a two hundred-dollar ($200.00) charge to be taken from their security deposit.

  • Tenants must register with Resident Manager within 78 hours of check-in.
  • All lights and air conditioner units must be turned off when not in the unit.
  • Trash must be taken out from unit upon checkout.
  • Windows and doors must be shut and locked when exiting unit.

14. WATER AND SEPTIC – DO NOT FLUSH anything other than toilet paper. No feminine products should be flushed at any time. If it is found that feminine products and wipes have been flushed, you could be charged damages of up to three hundred dollars ($300.00).

15. HURRICANE OR STORM POLICY – No refunds will be given unless:

  • The state or local authorities order mandatory evacuations in a "Tropical Storm/Hurricane Warning area" and/or
  • A "mandatory evacuation order has been given for the Tropical Storm/Hurricane Warning" area of residence of a vacationing guest.
  • The day that the authorities order a mandatory evacuation order in a "Tropical Storm/Hurricane Warning," area, we will refund:
    • Any unused portion of rent from a guest currently registered;
    • Any unused portion of rent from a guest that is scheduled to arrive, and wants to shorten the stay, to come in after the Hurricane Warning is lifted; and
    • Any advance rents collected or deposited for a reservation that is scheduled to arrive during the "Hurricane Warning" period.

16. LOST, STOLEN, FORGOTTEN ITEMS – Agents, nor owners, are responsible for any lost, stolen or forgotten items. In the event an item is found left behind, item will be held for no more than thirty (30) days. A fifty dollar ($50.00), plus shipping and insurance costs, will be charged to the tenant for returning the item.

17. All of the units are privately owned; the owners are not responsible for any accidents, injuries or illness that occurs while on the premises or its facilities. The Homeowners are not responsible for the loss of personal belongings or valuables of the guest. By accepting this reservation, it is agreed that all guests are expressly assuming the risk of any harm arising from their use of the premises or others whom they invite to use the premise.

19. Guests eighteen (18) and older are required to read and approve rental agreement.

BookThisHawaii.com has agreements with property owners and their representing agents to promote their rental property on this site. Owners and its representatives understand that their properties are subject to state taxes and will be responsible for tax filings. Activities and tours also known as third-party vendors we promote on this site are also subject to taxes and tax filings. Guests, travelers and/or customers who book with this site understand that in any dispute, they may ultimately need to deal directly with the provider of the rental property, owner/agent, and/or tour/activity operator.
